1. Overview

This policy explains what information Cobblemon Tools collects, why it is collected, and how it is used. Only the data necessary to operate the website and its features is processed.

Certain features, such as sponsorship placements, are intended for business use.

2. Data We Collect

2.1 User Accounts

If you create an account to manage servers on the Server List, we process:

  • Username
  • Email address
  • Password hash
  • Server(s) associated with the account

Passwords are stored using industry-standard cryptographic hashing with a unique per-password salt. Plain-text passwords are never stored.

This data is used solely for authentication, account administration, and verifying server ownership.

2.2 Battle Replays

When a compatible Cobblemon sidemod submits a replay, we store:

  • Minecraft UUIDs
  • Minecraft usernames
  • Relevant battle data

Replay data is public.

2.3 Server Voting

When a user votes for a server, we collect:

  • Minecraft UUID and username
  • IP address of the voter
  • Timestamp

The IP address is forwarded to the server as required by the Votifier protocol.

For internal storage, a hashed IP may be retained for fraud prevention where compatible with vote verification.

2.4 Cookies

Cookies are used for:

  • Consent management
  • Analytics (Google Analytics)
  • Advertising (Google AdSense)

2.5 Third-Party Services

We use the following services, which may collect data according to their own privacy policies:

  • Google Analytics
  • Google AdSense
  • FontAwesome

2.6 Sponsorship Auctions

If a user participates in a sponsorship auction, we process:

  • Server ID
  • Bid amounts
  • Timestamps of bids
  • Account ID associated with the bid

If a server is selected for sponsored placement, we may process:

  • Contact information associated with the account for invoicing
  • Payment status (paid / unpaid)
  • Sponsored banner image (if provided)

This data is used to administer sponsorship placements, determine ranking, issue invoices, and prevent abuse.

3. Legal Basis (where applicable)

Where required by law (e.g., GDPR jurisdictions), processing is based on:

  • Consent (analytics and advertising cookies)
  • Legitimate interests (account operation, vote handling, sponsorship administration, website functionality)

4. Data Retention

  • Account data is retained until the account is deleted.
  • Replay data is retained indefinitely unless removed for maintenance.
  • Voting data is retained for fraud prevention and auditing.
  • Analytics and advertising data follow Google’s retention policies.
  • Sponsorship bid data is retained for auditing and dispute resolution.
  • Sponsorship payment records are retained for accounting and compliance purposes.
  • Sponsored banner images are retained only for the duration of the placement unless otherwise required for record-keeping.

5. Data Sharing

We do not sell personal data.

Data is shared only with:

  • Google (Analytics and AdSense)
  • The server receiving a Votifier vote (includes the voter’s IP address)

Sponsorship invoice data may be processed through Roanoke Development LTD’s invoicing provider in accordance with standard accounting practices.

No other third parties receive personal data.

6. Children

Cobblemon Tools is not intended for users under 13.

We do not knowingly collect personal data from children.

7. Your Rights

Where applicable law provides rights (e.g., GDPR), users may request:

  • Access to their data
  • Correction
  • Deletion
  • Objection or restriction of processing

8. Changes

We may update this Privacy Policy.

The “Last updated” date will reflect the most recent revision.
